The managed service

What does the managed desk include?

The scope can include enquiry capture and routing, AI-assisted qualification, site-visit scheduling, confirmations, reminders, no-show recovery, CRM updates, and operational reporting. We agree the exact responsibilities, communication channels, and human handoffs before implementation.

Is this just a chatbot?

No. The focus is the operational journey from property enquiry to attended site visit. AI-assisted conversations can be one part of that journey, alongside workflow design, coordination, integrations, and ongoing review.

Does this replace our sales team?

No. Your team remains responsible for relationship-building, project advice, negotiations, and sales decisions. Automation supports repeatable coordination tasks, with agreed escalation points for human involvement.

Implementation & integrations

How long does implementation take?

The timeline depends on your enquiry sources, existing systems, access permissions, and workflow complexity. After an assessment, we propose a scope and implementation schedule. We do not promise a fixed timeline before understanding your setup.

Can you work with our existing CRM?

We assess your CRM’s available APIs, permissions, product plan, and data structure. We recommend an integration only after confirming feasibility. No particular CRM or communication platform is assumed to be supported without that review.

How do you handle prospect information?

We agree the information needed, access responsibilities, retention approach, and communication permissions during planning. Sensitive decisions should have human oversight. Specific security and compliance requirements are reviewed before deployment.

Can we start with one residential project?

Yes. A focused initial scope can help your team test the agreed process, validate handoffs, and identify adjustments before considering a wider rollout. The final scope depends on your requirements.

Pricing & expectations

How is the service priced?

Pricing is scoped to your projects, enquiry volume, workflow requirements, integrations, and level of ongoing management. We provide a proposal after discussing your process. Any relevant third-party platform or usage costs are identified separately.

Do you guarantee more sales or site visits?

No. We do not guarantee sales, attendance, or conversion increases. Results depend on factors such as lead quality, project appeal, prospect availability, and your team’s follow-through. Our focus is a more organized, consistent, and visible operating process.

How is performance reviewed?

We agree reporting definitions and review enquiries, appointment activity, recorded attendance, pending follow-ups, and exceptions. Reviews help identify process gaps and guide adjustments; they are not a substitute for your commercial sales reporting.
